The Floor Scrubber Buying Checklist: 7 Steps I Use Before Approving Any Purchase

I'm the operations buyer for a mid-sized facilities contractor. I manage cleaning equipment purchases across three locations—roughly $300,000 a year—and I report to both operations and finance. So I hear it from both sides when a purchase goes sideways.

Floor scrubber requests land on my desk a few times a year. Someone needs a machine, I get quotes, I compare specs, I approve. The first time I did this, back in 2022, I got it wrong. I compared spreadsheets instead of real-world needs. A year later we were eating the cost of that decision.

Two machines can look similar on paper and perform completely differently. The numbers I care about: brush pressure (pounds), pad speed (RPM), and solution flow rate.

For a compact unit, lower brush pressure is acceptable for routine maintenance. But if your floors have ground-in grime, you need real downforce. More downforce means more cleaning per pass—and less labor cost overall.

Look, a lower-priced machine that can't actually lift the dirt isn't a bargain at any price. You'll either re-scrub those floors manually or buy a second machine. I've watched both happen in our own facilities, and neither is fun to explain to finance.

Step 4: Run a 5-Year Total Cost Calculation

This is the core of how I evaluate any equipment purchase. Sticker price is maybe 40% of what a machine costs over its life.

  • Battery replacement (typically every 2-3 years for electric units)
  • Pads, brushes, squeegee blades—all consumables
  • Preventative maintenance and common repairs

In 2023, I approved a purchase based on price alone. The machine performed fine for about a year. Then a brush motor failed, and the vendor couldn't supply a replacement part for six weeks. Six weeks of a dirty warehouse floor and an unhappy VP. I still wince thinking about it.

Now I get answers to these three questions before any purchase:

  1. Where are parts stocked: locally or overseas?
  2. What is the actual service response time, not the estimate on the brochure?

The Hard Lesson

Everyone told me to check total cost of ownership before my first scrubber purchase. I didn't truly believe it until I skipped that step and ate an $800 mistake out of our department budget.

The "cheap" machine was cheap for a reason. Not because the brand was bad, but because it didn't fit our building's reality. That's what this checklist is for: making sure the machine matches the actual building, floor, and people—not just the spreadsheet.

Common Mistakes to Avoid

Comparing specs in a vacuum. Specs only make sense against your building, floors, and operators.

Forgetting consumables. Always ask the replacement cost of pads, brushes, and batteries before signing.

Ignoring the service network. A machine without a parts supply is a liability, regardless of how well it runs.

Excluding the cleaning crew. The people who operate it will decide whether the machine succeeds. (Mental note: I really should standardize this checklist across all three of our locations.)
