If you're about to rent a walk-behind floor scrubber—for a warehouse, a retail space, a school, or a nursing home—this checklist is for you. It's the exact process I run through before every walk behind floor scrubber rental in the Green Bay area, and it exists because I made expensive mistakes so you don't have to.
I've coordinated cleaning equipment orders for commercial properties since 2017. This sounds like the kind of advice you skip. But my first mistake was estimating—I guessed 20,000 square feet and the production floor was 34,000. The machine's runtime is rated for a certain square footage per charge, and if you're off by that much, you either rent an extra day or stop mid-shift.
Measure it. Note the surface type by zone: concrete, tile, epoxy, sealed or unsealed. Check that the machine fits through your doorways and freight elevators. Spec-sheet numbers assume fairly ideal conditions. Real facilities have columns, racks, and thresholds.
And if the rental company offers a specific model—a Hako, an Advance, a T291-equivalent—ask for the serial number and look up the manual. Don't assume the listing photo shows the machine you'll get.
Step 2: Pull the spec sheet from the manufacturer's website
Rental listings are... loose, let's say. "Walk-behind floor scrubber" can mean a 17-inch deck machine for a small restaurant or a 36-inch deck machine for a logistics center. The listing photo rarely tells you which one is waiting for you.
This is where the Hako website—or any manufacturer's site—becomes your best tool. Most brands publish PDF spec sheets with deck width, brush speed, runtime, battery type, and tank capacities. I cross-check the rental unit against the official spec sheet before I sign anything. If a model isn't on the manufacturer's website anymore, that's a red flag; it usually means the machine is discontinued or an older generation.
The same rule applies no matter the brand. Hako, Advance, or any other name—the official spec sheet is the ground truth, not the rental yard's one-line description.
Step 3: Inspect the squeegee blade before you leave the lot
This step cost me $890, so listen up. I never inspected the squeegee blade. The machine streaked, and I blamed the floor, the water, the detergent. Two days later, we found the squeegee blade was torn on one side. A $45 replacement and 20 minutes fixed it. Two rental days and one client relationship were already damaged.
Now I flip the machine up and inspect the blade before leaving the rental yard. Run a gloved finger along the edge, look for tears, and ask whether the rental shop stocks spare blades. If they don't, ask for another unit. This is the highest-leverage five-minute check in the entire process.
Step 4: Verify the battery, the charger, and the charging time
Batteries age. A machine that claims an 8-hour runtime on the spec sheet may deliver four in reality if the batteries are worn. Older machines sometimes come with chargers that don't match the battery type, which means a full charge takes twice as long.
I ask three questions:
- How old are the batteries in this exact unit?
- What charger model comes with it, and does it match the battery?
- How long does a full charge take with that charger?
We once had a unit need 12 hours instead of the quoted eight. That's an entire lost shift, and the crew still had to work around it.
Also—this gets into electrical territory, which isn't my expertise—ask whether the machine needs 110V or 220V. One of our deliveries nearly fell apart because the facility didn't have the right outlet. I'd recommend confirming voltage with your electrician before the rental arrives.
Step 5: Know your water logistics
From the outside, a floor scrubber rental looks simple: machine arrives, machine cleans, machine gets returned. The reality is that you're managing a washing machine on wheels. It has a clean-water tank and a recovery tank, and both need attention throughout the shift.
Depending on the unit, a full tank might last 30 minutes or two hours. I'm not 100% sure why the variance is so wide, but it seems tied to tank capacity and brush pressure. This means someone on your team is responsible for refilling and dumping, over and over. That's labor. Budget for it.
Ask the rental company how much water the machine uses per hour and where you should dump the recovery water. Some municipalities have rules about detergent discharge, and it's worth a quick call to your local facilities department rather than assuming.
Step 6: Do a 10-minute operator walkthrough before the clock starts
Every scrubber has a personality: the emergency stop, the deck-lift handle, the squeegee release for transport, the knobs that adjust brush pressure for different floors. Hand the machine to an operator without a walkthrough and you'll lose the first hour to fumbling.
My rule is simple: whoever runs the machine drives it for 10 minutes in the parking lot with plain water before the shift starts. It prevents the 8 a.m. phone call that begins with "the machine won't move" and ends with "the parking brake was still on" (I'm not proud of that one).
This is also the moment to verify the pad or brush type. A polished concrete floor needs a different pad than a broom-finished warehouse floor, and using the wrong one is exactly how I lost that $1,200 rental in 2022. If you're unsure, ask the rental provider—or better, call the manufacturer's support line. I'm not a flooring specialist, so I can't speak to pad chemistry, but this one question has saved me more than once.
The checklist, as I actually use it
Before I email the rental request, I run through: area measured, surfaces mapped, spec sheet verified, squeegee inspected, battery and charger confirmed, water plan in place, operator walkthrough scheduled. It takes about 15 minutes. It has caught 47 potential problems in the last 18 months (I count them, since no one else at our company will).
Things I learned the hard way

Rentals are for short-term coverage or try-before-you-buy. If you're renting the same class of machine more than twice a year, the purchase math starts to make sense.
Why this matters beyond convenience: OSHA's walking-working surfaces standard (29 CFR 1910.22) requires employers to maintain floors in a clean and, so far as possible, dry condition. And if your cleaning operation is pursuing ISSA CIMS certification, verification and documentation are built into that standard. The checklist isn't bureaucracy—it's the difference between a defensible process and a guess.
I don't know much about machine repair, and I can't tell you which motor is mechanically superior. What I can tell you from a procurement perspective is this: the $14,000 I lost wasn't spent on machines that failed. It was spent on assumptions I didn't verify. The checklist is how I stopped that from happening.
